Your gym in DHA, Johar Town or F-7 is full in January and before summer weddings, and half empty by Ramadan. Fees are collected at the front desk in cash or by transfer, written in a register, and the receptionist remembers who is due. When she leaves, the memory goes with her, and members whose package ran out keep training for weeks without paying.
Gym management software fixes that by making the membership, not the register, the record everyone trusts. Here is how the pieces fit for a Pakistani gym or fitness centre.
Membership types and the freeze question
Most gyms sell monthly, quarterly, six-month and yearly plans, with separate prices for couples, students or ladies' timings. Each membership needs a start date, an end date and the rules attached to it. The most argued rule is freeze: a member travels for a month or falls ill and wants the days back. Decide once how many freeze days each plan allows and whether a fee applies, then let the software extend the end date when a freeze is approved.

Renewals: where gym income really comes from
A new member is expensive to win; a renewing one costs a message. The software should give the front desk a daily renewal list: expiring in seven days, expired yesterday, expired a month ago. Each gets a WhatsApp reminder, and the desk records the reply. Collecting payment by JazzCash, EasyPaisa or bank transfer and attaching the screenshot to the membership keeps the accounts clean. Attendance at the door
Attendance is more than security. A member who came five days a week and now comes once is about to quit. Mark entry by member card, fingerprint device or a QR code in the app, and the door check also stops expired members walking in. Fingerprint devices need power, so the system must keep a local record during load shedding and sync later. Staff attendance can use the same device.
Personal trainers and their share
Personal training is often the most profitable line and the least tracked. Sell PT as a package of sessions, let the trainer mark each session done, and have the client confirm it in the app or at the desk. The trainer's share, whether a percentage or a fixed amount per session, then comes out of the system at month end. No more notebook disputes.

Write every plan with its duration, price type and freeze rule. Retire the odd old plans nobody sells.

Name, phone, plan, start and end date. Check the expired-but-training list with the owner before go-live.

Do you need a member app?
A mobile app lets members see their plan, book classes, scan in and renew online. It looks good, but it only works if the membership data underneath is correct. Supplements, branches and accounts
Many gyms sell supplements, shakes and kits at the counter. That is stock, with purchase and sale prices, so the same system should bill it. Chains with ladies' and gents' branches, or one in Lahore and one in Islamabad, need each branch's members, cash and staff separate with one owner view; a small ERP does this better than a separate app per branch. Can members renew online?
Yes. A renewal link or the member app can take payment by card, JazzCash or EasyPaisa, and the membership extends when payment is confirmed. Many gyms still prefer the desk to confirm transfers manually at first.
Does the fingerprint machine work during load shedding?
Most devices run on a small UPS and store entries locally. The software syncs them when power and internet return, so no visit is lost.
Can it handle separate ladies' timings?
Yes. Plans can be tied to timings or sections, and the door check can refuse entry outside the member's allowed hours.
Do you have an office outside Karachi?
