The head office is on Khayaban-e-Shahbaz or in a tower off Mai Kolachi; the work is everywhere else. Containers are clearing at the port, a project is pouring concrete in Phase 8, and six branches from Dolmen Mall Clifton to Tariq Road are closing their tills. The owner in Clifton gets a WhatsApp summary from each manager and a set of accounts weeks after the month ends. By then the discount was already given, the material was already bought twice, and the branch that lost money has had another month to lose more.
ERP software for a Clifton head office: three kinds of company
| Head office | What goes wrong without ERP | Module to start with |
|---|---|---|
| Importer or trading house | Landed cost worked out in Excel after the container is sold; stock in the godown and on the sheet never match | Purchasing with landed cost per shipment; stock by godown |
| Construction or real-estate developer | Site expenses arrive as photos of bills; nobody knows the cost of one phase | Project costing with budgets, purchase orders and site requisitions |
| Retail or restaurant group | Each branch runs its own stock and cash; head office consolidates by hand | Branch stock, central purchasing, daily cash position |
Importers: the cost of a container
A trading house that imports through Karachi port buys in dollars, pays duty, clearing, transport and bank charges in rupees, and sells from a godown in SITE or Korangi. The ERP should open a shipment file for each container, attach every cost to it, and land the cost per unit before the first sale is priced. Purchase orders to foreign suppliers, the letter of credit or advance, and the goods received note then sit in one place, and the owner sees the margin on the container, not on the invoice.
Developers: costing a project in phases
A developer or contractor runs several projects, each with phases, budgets and a site team that spends daily. The ERP should hold a budget per project and phase, raise requisitions from the site, convert them into purchase orders at head office, and post every bill against the right project. Contractor payments, retention and running bills belong to the same file. Then the owner can see what one tower has cost so far against what was planned, this week, not at year end.
Retail and restaurant groups: branches on one book
A group with outlets in Dolmen Mall Clifton, Do Darya, Bahadurabad and Lucky One needs central purchasing, one price list and stock transfers recorded at both ends. Each branch closes its cash per shift; head office sees a cash position per outlet in the morning. Our multi-branch software guide covers transfers, branch margins and who may see what.
PKR books with sales tax
Everything ends in rupee books your accountant can file from. Sales invoices carry FBR sales tax on goods; where you sell services in Karachi, the Sindh Revenue Board's sales tax on services applies instead. The ERP should put the right tax on each invoice type and produce the monthly summary. Which registrations your company needs: confirm with your tax adviser.
Approvals: who may spend
In most head offices the real control is a WhatsApp 'ok' from the owner. The ERP replaces it with limits: a purchase order above a figure waits for the director, a discount above a percentage waits for the sales head, a payment waits for finance to match it to a bill. Nothing becomes slower; the approvals happen on a phone. But every 'ok' is now recorded with a name and a time, and the limits can be tightened for one branch or one project without touching the rest.
Name one owner per module
Purchasing, projects, branches and accounts each need a person who decides how the screen should work.
Clean the master lists
Suppliers, items, projects and branches, with duplicates merged before import.
Agree the approval limits
Who approves what, and above which amount, written down and signed by the director.
Open balances on one date
Stock counts, receivables and payables entered as at one agreed date, not spread over a month.
Go live module by module
Purchasing and stock first, then projects or branches, then the full books, with weekly releases on your own data.
The order of these steps follows our ERP implementation roadmap, which also lists the mistakes that stall a go-live.
On site in Clifton
Operix is in Old Clifton, a few minutes from most of these offices. Discovery is done at your table, screens are designed and approved before they are built, and training happens on the live system in Urdu or English, in your office. The ERPs you can inspect are Sea Keepers, which runs a marine supplier from the first enquiry email to the final delivery documents, A2Z Pvt Ltd, a company ERP delivered alongside its website, and Siratim, where a bottled water company's customers, orders and deliveries run in one CRM/ERP. See ERP software for Pakistan, then book a demo and we will come to Clifton.
Questions people ask
Can the ERP work out landed cost for imported goods?
Yes. Each shipment is a file that collects the supplier invoice, duty, clearing, transport and bank charges, and lands the cost per unit before the stock is sold. Later costs can be added and the cost recalculated.
Can it cost construction projects by phase?
Yes. Budgets are set per project and phase, requisitions come from the site, purchase orders and contractor bills post against the right phase, and the owner sees cost to date against budget.
Will our branches need internet all day?
Head office works on the cloud system. Branch counters keep billing offline when the internet drops and sync when it returns, so a branch never stops selling.
Do you have an office in Clifton or DHA?
Yes. Operix is in Old Clifton, Karachi. Discovery, design reviews, go-live and training for Clifton and DHA head offices happen in your office.
How much does ERP software cost in Karachi?
It depends on modules, users, branches and integrations. Operix does not publish prices; you get a written quote with milestones after the discovery meeting.
