The head office is in Olaya or on King Fahd Road; the branches are in Riyadh's suburbs, in Jeddah, in Dammam, maybe in Abha. Purchase requests arrive on WhatsApp, the finance manager approves them from his phone, the branch sends a photo of the delivery note, and the month closes late because every branch keeps its own Excel. Or you are a Batha wholesaler with stock in a warehouse, customers on credit and a counter that never stops. In both cases the question is the same: which ERP software in Riyadh fits a company that already works a certain way?
Three Riyadh businesses, three ERPs
A head office with branches
Purchasing, HR and accounts sit in Riyadh; sales and stock happen elsewhere. The ERP gives each branch its own stock, cash and users, keeps one item master and one price list from head office, and lets stock move between branches with a record at both ends. Head office closes the month centrally. Our guide to multi-branch business software covers this shape in detail.
A contractor or fit-out company
Every contract is a project with a budget. Purchase orders, site labour, equipment hire and subcontractor invoices post to the project, and the owner sees cost to date against contract value before the month end, not after. Progress invoices go out against the client's PO.
A Batha wholesaler
Many items, many small customers, most of them on credit. The ERP needs a fast sales counter, stock by carton and piece, customer credit limits with a block at the counter, and recoveries scheduled by salesman. The point-of-sale side is covered in our Riyadh POS guide.
Approvals that keep the work moving
In many Riyadh companies the real approval chain lives in a WhatsApp group: a screenshot of a quotation, a thumbs-up, an order placed. The ERP replaces that with limits. A branch manager can raise a purchase request; above a limit it waits for the purchasing manager; above another, for the owner. Each approver gets the request on their phone with the supplier's quotation attached, and the history shows who approved what and when. The chain is yours to set, and it should be short enough that a routine order clears the same day.
| Document | Raised by | Approved by | What the ERP checks before it moves |
|---|---|---|---|
| Purchase request | Branch manager | Purchasing manager, owner above a limit | Budget for the branch or project |
| Purchase order | Purchasing | Automatic once the request is approved | Supplier is registered and VAT number recorded |
| Goods receipt | Branch storekeeper | None | Quantity matches the PO or the difference is explained |
| Supplier invoice | Accounts | Finance manager | Invoice matches PO and receipt; 15% VAT recorded |
| Payment | Accounts | Owner or finance manager | Invoice approved and due date reached |
| Stock transfer | Sending branch | Receiving branch confirms | Stock exists at the sender; both sides record it |
Reports in Arabic and English, on the Saudi week
The owner may read Arabic, the auditor English, the branch manager either. Reports and screens should switch per user, item and customer names should be stored in both languages, and documents the customer sees are laid out right to left. Weekly reports run Sunday to Thursday, and a payment due on Friday is shown on Thursday's list.
VAT and FATOORA across branches
Branches normally invoice under the company's VAT registration, so every invoice from every branch carries the same VAT number, 15% VAT and a QR code under ZATCA's FATOORA rules, and the return draws on all of them together. Businesses are brought into integration with ZATCA's platform in waves; how your branches are registered, and which wave applies to you, confirm with your tax adviser. The ERP's part is to keep every branch's invoices in one ledger so nothing is rebuilt from paper.
Go live at head office first
Purchasing, approvals and accounts start in Riyadh with the branches still on their old sheets.
Fix the item master and chart of accounts
One list of items with Arabic and English names and one chart of accounts, agreed with your accountant, before any branch joins.
Pick one pilot branch
Choose a branch with a capable manager, count its stock, and move its sales and stock onto the ERP.
Add branches in groups
Once the pilot closes a clean month, bring the rest across a few at a time, with a stock count at each.
Switch off the spreadsheets
Set a date after which branch reports come only from the ERP, and hold to it.
Close the first full month centrally
Head office closes every branch from one screen and reviews the VAT summary with the accountant.
Where Operix stands
Operix Systems builds ERP software for Saudi Arabia from Karachi, two hours ahead of Riyadh, and delivers it remotely: discovery on a video call, every screen approved before it is built, weekly releases on your own data, training on the live system, and support on one WhatsApp number. We have no office in Riyadh and no Saudi client yet. The ERP work you can inspect is Sea Keepers, a marine supplier's system running from enquiry email to delivery documents, and A2Z Pvt Ltd, a company website built alongside an ERP for managing the business. If sales is your bottleneck, our custom CRM guide for Riyadh covers tenders and approvals on that side. Book a demo and bring one purchase that took too long to approve.
Questions people ask
Do you have an office in Riyadh?
No. Operix works from Karachi and delivers ERP projects in Riyadh remotely, with video-call discovery, weekly releases on your own data and support on one WhatsApp number.
Can branches with weak internet use the ERP?
Yes. The sales counter at a branch keeps working offline and syncs when the connection returns, and the rest of the ERP is used through a browser whenever the branch is online.
Can approvals be done from a phone?
Yes. Approvers see the request, the supplier's quotation and the budget on their phone, and approve or reject with a reason. The history is kept against the document.
Are reports available in Arabic?
Yes. Each user picks Arabic or English, item and customer names are stored in both, and customer-facing documents are laid out right to left.
How much does ERP software cost in Riyadh?
It depends on branches, users, modules and integrations. Operix does not publish prices; you receive a written quote after the discovery call.
