Institutes teaching web development, graphic design, spoken English, IELTS preparation, digital marketing or electrician courses advertise heavily on Facebook and Instagram. The enquiries pour into WhatsApp. A counsellor replies to some, forgets others, and the new intake starts half full. Meanwhile, the accounts person chases instalments and the front desk types certificates in a word processor. Leads: the part institutes underrate

Every ad brings enquiries with the same questions: fee, timing, online or on campus, certificate. Three common institute types

Each intake has a start date, seats, a teacher and a fee plan: full payment, or instalments with due dates. When a lead converts, the counsellor enrols them in an intake and the first invoice is created. Instalments then remind the student on WhatsApp before the due date.

Attendance, assessments and certificates

  • Attendance per session, with a minimum required for the certificate.
  • Assignments and practical assessments marked against a rubric.
  • Certificates generated from the student's record with a unique number.
  • A public page where an employer enters the number and sees that the certificate is genuine.

Fake certificates hurt an institute's name. A verification page costs little to build and tells employers you take your own certificate seriously.

Do you need an LMS?

A learning management system holds recorded lessons, notes, quizzes and online class links. It is worth building or adopting if you teach students in other cities or abroad, or sell recorded courses. If every class is in a room on campus, attendance and assessments in the institute system are enough. Be honest about this before paying for features nobody will open.

  1. Count your lead sources

    List where enquiries come from: each ad platform, WhatsApp, walk-ins, website, referrals.

  2. Write the counsellor script

    Agree the steps from first reply to enrolment, and the follow-up gaps between them.

  3. Define intakes and fee plans

    For each course, set seats, duration, instalment schedule and refund policy.

  4. Design the certificate

    Approve layout, wording and numbering, and decide who signs it.

  5. Decide on online delivery

    Choose whether you need recorded lessons and online classes now, or later.

Reports an institute owner actually uses

Owners of training institutes usually want a handful of numbers each week, not a dashboard full of charts. Enquiries by source and the share that enrolled. Seats filled per upcoming intake, so a half-empty intake gets more marketing before it starts rather than after. Instalments due this week and overdue. Students at risk of not meeting the attendance needed for a certificate, so teachers can reach them in time. And completed students who have not yet received their certificates. Every one of these comes from records the staff already keep once the system is in place.

Institutes with more than one campus, or with online and on-campus versions of the same course, should keep one student record and one lead list across all of them. A student who starts online and moves to the evening class in person should not become a new admission, and an enquiry that came to the Lahore campus should not be called again by Karachi staff. Alumni lists also matter: past students refer new ones, and some return for advanced courses. A message to the right alumni when a new course opens is cheap marketing that only works if the records exist. Corporate clients who send staff for training are another source worth tracking, with their own invoices, attendance reports and a certificate list at the end of each batch.
