Your showroom on Khalid bin Waleed Road, in Lahore's Main Boulevard area or near Blue Area has thirty cars on the lot, some owned, some on consignment. A buyer pays token money for a Civic, and the next morning a salesman, not knowing, shows the same car to another family. Meanwhile your rent a car side has a Corolla booked for a wedding in Hyderabad and nobody has checked whether its driver is free.

Most showrooms in Pakistan run on a diary, a WhatsApp group and the owner's memory. That works until the lot grows or a second partner joins. Here is what software should do for each side of the business.

The car as a record

Every vehicle gets one record: make, model, year, registration city, chassis and engine number, colour, mileage, purchase price or consignment terms, and every rupee spent on it since, from denting and painting to new tyres. The record also lists the documents you hold: original file, registration book or smart card, transfer letter, number plates and keys. When the car sells, the profit is the sale price minus cost and expenses, worked out for you.

Token money and the double-sale problem

Token money is a promise, and a promise must be written down. When a buyer pays a token, the car's status changes to reserved, a receipt is printed, and every salesman sees it at once. The record holds the balance due, the deadline, and what happens to the token if the buyer backs out, as agreed with you. When the balance arrives and the file is handed over, the car moves to sold.

Buyer leads in one list

Leads come from PakWheels and OLX listings, Facebook, walk-ins and WhatsApp forwards. If each salesman keeps them in his phone, they leave when he leaves. Rent a car: bookings, drivers and returns

A rental booking blocks a car for dates and, if needed, a driver. At pickup, record the mileage, fuel level and photos of the body. Take the deposit and a copy of the customer's CNIC and licence. At return, record mileage and fuel again, note any damage with photos, and the bill adds extra days, extra kilometres, driver overtime and out-of-city charges as per your rate card.   1. Check the booking

    Confirm dates, car and driver on the calendar before the customer arrives.

  2. Collect documents

    Scan CNIC and licence, and have the customer sign the rental agreement.

  3. Record the car's state

    Mileage, fuel and photos of all four sides, saved on the booking.

  4. Take the deposit

    Cash, card or transfer, with a receipt that states the refund terms.

  5. Close on return

    Repeat mileage, fuel and photos, then bill extras and settle the deposit.

Drivers, maintenance and partners

Drivers need duty days, advances and overtime tracked; cars need oil changes, tyre changes and token tax dates. Many showrooms are partnerships, so each partner wants to see his share of profit on cars he funded. That is a small ERP rather than a CRM alone. Documents are where showrooms get into trouble. A transfer letter that was never collected, or a file handed over before the balance cleared, turns into a long dispute. Questions people ask

Can I track consignment cars separately from my own?

Yes. Each car is marked owned or consignment, with the owner's details and agreed terms. Profit on consignment cars is worked out as your commission, not the full sale.

Can salesmen see purchase prices?

Only if you allow it. Roles decide who sees cost, expenses and profit; most showrooms show salesmen only the asking price and the lowest price they may accept.

Will it remind me about token tax and maintenance?
