Evening academies for matric, O and A level, FSc and entry tests fill whole streets in Karachi, Lahore and Rawalpindi. The owner usually knows every student by face in the first year. By the third year there are morning and evening batches, a second branch, teachers paid per batch, and a fee register nobody wants to total. Tuition academy software exists for that point.
Batches are the unit, not classes
A school has classes; an academy has batches. One student may join a physics batch at five and a maths batch at seven, with different teachers and different fees. The software should let you create batches by subject, level, teacher, room and time, move a student between batches without losing history, and see how full each batch is before admitting more.
Monthly fees and recoveries
- Monthly fee per student, built from the batches they attend, with sibling or merit discounts.

Parents rarely visit an academy; a short WhatsApp message with attendance and test marks is how they judge whether the fee is worth paying.

Teacher payments
Many academies pay teachers a share of the batch fee or a fixed amount per student. When fees and batches are already in the system, the monthly teacher sheet calculates itself, including students who left mid-month. That removes one of the most awkward conversations in the business.

Results season and the academy's name
An academy's reputation is built on board and entry-test results. When test marks have been recorded all year, the academy can see which batches improved, which teacher's students did best in mock exams, and which students need extra classes before the board papers. That information is far more useful than a poster of toppers, though it can feed that too. Keep it honest: publish only results you can show with records.
The other season that matters is admissions after results. Parents and students shop around, often visiting three or four academies on the same road. Recording each enquiry with the subject and level wanted, and following up within a day, is often what decides where they enrol. Keep a simple waiting list for full batches, so a seat that opens is offered to the next student instead of being forgotten. Can parents get test results on WhatsApp?
Yes. After marks are entered for a batch, parents can receive a short message with the result and attendance. You choose the wording in Urdu or English.
Can students join in the middle of a month?
Yes. The fee can be charged in full or for part of the month, as your policy says. The rule is set once and applied to every mid-month admission.
