In the first week of every month the accounts office of a school disappears under paper. Fee vouchers and defaulters
Fees are the part to get right first. A fee structure is set per class, with heads such as tuition, admission, examination and transport. Individual students then differ from it: a sibling concession, a staff child, a scholarship, an instalment agreed with the principal. The system holds the structure and the exceptions, and generates the month's vouchers for every student in one run, with arrears from earlier months carried forward.
When payments come in, at the school counter or through the bank, they are marked against the voucher. A part payment leaves the remainder open. The defaulter list is then simply every voucher not fully paid after its due date, by class, by amount and by the number of months outstanding. Late fee rules, where the school has them, are applied the same way to everyone.
Record who approved every concession and waiver. Fee disputes with parents are often about something agreed verbally, and a dated note against the student settles them.
Attendance and results
Daily attendance takes a teacher very little time on a phone or a classroom computer. The gain is not the monthly total. It is that a parent can be told the same morning that a child did not arrive. For exams, each teacher enters marks for their own subject and class. The system adds them up, applies the school's grading scheme and prints every result card in one format, so teachers are not writing cards by hand at the end of term.
Talking to parents
Parents mostly want to know three things: is the fee paid, did my child attend, and how did the exam go. A parent portal or app answers those without a call to the office. Notices about holidays, parent-teacher meetings and fee due dates go out as a message to all parents or to one class. Keep that channel for announcements and leave conversations to the class teacher. A portal that tries to replace every conversation tends to go unused.
