Between results day and the start of the session, a private school or college admissions office in Pakistan becomes a call centre. Parents phone, walk in, message on WhatsApp and fill website forms. The office writes names in a register, promises to call back, and some of those calls never happen. Weeks later the principal asks how many enquiries there were this year and nobody can answer with confidence. An admissions CRM fixes the gap between interest and enrolment.

Follow-up that does not depend on memory

Each enquiry gets an owner and a next step: call on Thursday, send the prospectus, remind about the test. The CRM shows each counsellor a list for today. Several campuses, one view

School groups often run admissions per campus. The CRM should let each campus work its own leads while head office sees totals and can move a family to another campus with seats. This is the same idea as any multi-branch business software: local work, central view.

  1. Fix the stages

    Agree the stages from enquiry to admission, and what must happen before a family moves forward.

  2. Tag every source

    Give each banner, ad and campaign its own source name so results can be compared.

  3. Write the message templates

    Prepare WhatsApp texts in Urdu and English for visit confirmation, test dates and fee deadlines.

  4. Assign counsellors

    Decide who owns enquiries by campus or class, and who covers when someone is on leave.

  5. Review weekly

    Each week, look at overdue follow-ups and conversion by source, and change what is not working.

Open days, entrance tests and seats

Many schools and colleges run open days and entrance tests on fixed dates during the season. The CRM should register families for a slot, send reminders the day before, mark who attended, and record test results against each applicant. Seats per class or programme should be visible to the office, so offers are made against real capacity and a waiting list forms automatically when a class is full. When a family declines an offer, the next on the waiting list can be contacted the same day.

Colleges admitting for intermediate and degree programmes face a slightly different season: students apply to several institutions at once and decide late. Recording what each applicant is comparing you with, and the reason given when they choose elsewhere, gives the management something solid to discuss before next year. Scholarships and fee concessions should be recorded as offers with an approval, not as verbal promises at the counter. Over a few seasons the CRM becomes a record of which campuses, classes and sources fill reliably, which is exactly what the board wants to see before approving next year's marketing.

From admission to the school system
