One inventory, one status
Everything else depends on this. Each plot, flat or shop is a record with its block, number, size, category and price, and exactly one status at any moment.
- Available: open for sale.
- On hold: token received or reserved for a named buyer, with an expiry date.
- Booked: booking form signed and down payment received.
- Sold or transferred: fully paid, or moved to a new owner.
- Cancelled: returned to available, with the reason recorded.
When the status changes in one place, every salesperson sees it at once. The marker on the wall map can retire.

Leads and follow-ups
Property enquiries arrive from portals, social media adverts, site visits, dealers and WhatsApp. Each should land as a lead with its source, the size and location the buyer wants, and a date for the next call. Buyers take their time, often visiting more than once before they decide, so the follow-up list matters more here than in most trades. Booking
A booking is the moment a lead becomes a commitment, and the system should treat it as one step: choose the unit, attach the buyer's details and CNIC copy, record the token or down payment, pick the payment plan and name the dealer. The unit's status then changes by itself. If a hold expires without payment, the unit should return to available automatically rather than wait for someone to remember.
Instalment plans and the overdue list
Payment plans vary by project: a down payment, monthly or quarterly instalments, larger payments at set intervals, and charges due at possession. The CRM should produce the full schedule at booking, so every due date exists from the first day. Each receipt is then posted against a specific instalment, and the buyer's statement is always current.

Surcharges for late payment, cancellations and refunds follow your booking form and your own policy. The software should apply what you have agreed with buyers, and those terms are worth having checked by your legal adviser.
Dealer commissions
Where dealers and agents bring in bookings, commission is where arguments start. The cure is to record the dealer on the booking and let the system work out what is owed: at booking, at down payment, or as instalments arrive, whichever you have agreed. A statement for each dealer, showing bookings, commission earned and commission paid, settles most questions without a meeting.
