Companies in Riyadh, Jeddah and across Saudi Arabia search for bespoke CRM software for one reason: the package they bought, or the spreadsheet standing in for one, does not match how they sell. This guide is about that decision and what to put in the brief. For the Eastern Province specifically, see bespoke CRM software in Dammam; for the wider ERP picture, ERP software for Saudi Arabia.
Package or bespoke
| Situation | Packaged CRM | Bespoke CRM |
|---|---|---|
| Leads, stages, follow-ups and a monthly report | Fits well | More than you need |
| Quotations built from your price book, in Arabic and English layouts | Workarounds and plugins | Built in |
| Contracts, renewals and service visits after the sale | Separate add-ons | One workflow |
| WhatsApp and SMS as the main channels | Connectors with per-message fees | Designed around them |
| Hand-over to the ERP or ZATCA-registered invoicing | An integration project on top | Designed with it |
| Personal data kept in a chosen jurisdiction | Whatever the vendor offers | Your decision |
If the first row is your whole requirement, buy a package; CRM vs ERP and our CRM software page explain what each is for. The rest of this guide assumes at least two of the other rows apply.
Riyadh, Jeddah and the Eastern Province sell differently
- Riyadh: government, semi-government and corporate buyers; tenders, approvals and contract management matter more than speed, and the pipeline has long quiet stretches.
- Jeddah: trading, retail, hospitality and consumer brands; more enquiries, shorter cycles, promotions and WhatsApp-led selling.
- Dammam and Al Khobar: industrial, oil and gas, logistics and contractors; technical enquiries, quotations with specifications, and service after the sale.
A bespoke CRM can run a different pipeline, document set and report for each branch inside one system. A package usually gives everyone the same pipeline and leaves the branches to adapt.
Arabic and English in the same record
The salesperson works in Arabic, the finance manager may work in English, and the customer receives documents in one or both. So the record, the search and the documents all carry both. The detail that breaks packaged systems is the name: the same customer spelt three ways in Arabic and two in English becomes five records. Search has to match across spellings. Addresses follow the Saudi National Address format, and quotations often need the Hijri date next to the Gregorian one. The Arabic SEO guide describes the same bilingual discipline for public pages.
WhatsApp and SMS, not email
A lead in the Kingdom is a WhatsApp message or a missed call far more often than a web form. A CRM that logs email and ignores WhatsApp holds a fraction of the real pipeline. Specify the WhatsApp Business API connection, an SMS gateway for confirmations and click-to-call from the record, with every message landing on the customer's record automatically and the reply visible to the manager. This is usually the difference between a CRM the team uses and one they work around.
Where the data lives
A CRM is a database of personal data: names, mobile numbers, national or iqama numbers if collected, and the conversation history. The Personal Data Protection Law, supervised by SDAIA, sets conditions on collecting and processing that data and on transferring it outside the Kingdom. Decide the hosting location and the fields you will keep before the build, write down why each is needed, and take legal advice on anything sensitive. With a bespoke system the hosting region is your decision rather than the vendor's.
After the deal is won
A CRM that stops at 'won' leaves someone re-typing the order into the accounting system. Specify the hand-over: the quotation becomes a sales order, the order reaches the ERP or the accounting package, and the invoice is issued by the system registered for ZATCA e-invoicing. The CRM does not need to issue tax invoices; it needs to pass clean data to the system that does. Common targets are Zoho Books, Qoyod, Wafeq, Odoo and SAP Business One.

Name the connections
WhatsApp Business, the SMS gateway, the accounting or ERP system, the ZATCA-registered invoicing system, the website.
Decide the data and the hosting
What personal data is kept, why, for how long and where, under the PDPL.
Choose the first branch
One city and one pipeline first; the others follow once the first is in daily use.
Where Operix stands
Operix Systems works from one office, in Karachi, and builds CRM software for Saudi Arabia remotely. There is no Operix office in the Kingdom and we have not yet published a Saudi project; the CRM and ERP work you can inspect is in Pakistan, such as Sea Keepers, where enquiries arrive by email and become quotations, orders and delivery documents in one system, and Siratim. Karachi is two hours ahead of Riyadh, so most of a Saudi working day overlaps with ours, and the week is planned Sunday to Thursday. How we work with Saudi clients is on the Saudi Arabia page; to start, describe how your team sells.
Before you commission one, read bespoke CRM software in KSA: what to ask first: ownership, the PDPL, Arabic records and how a remote team delivers.
Questions people ask
How long does a bespoke CRM take in Saudi Arabia?
A first pipeline with Arabic and English documents, WhatsApp and SMS and an accounting link takes months rather than weeks, going live one branch at a time. The number of document types and integrations sets the timeline.
Does the CRM have to handle ZATCA e-invoicing?
No. The invoicing or accounting system registered with ZATCA issues the tax invoice. The CRM must pass the won order to that system without anyone re-typing it.
Can the CRM be hosted outside the Kingdom?
The PDPL places conditions on transferring personal data outside Saudi Arabia. The hosting location is decided with those conditions and legal advice in mind, and written into the contract.
Is bespoke more expensive than Zoho or Salesforce?
More up front and less per user over time, because there are no per-seat licences and no connectors to maintain. Compare the five-year cost, not the first invoice.
