Customers in Karachi and Dubai already treat WhatsApp as the counter. They send the order there, ask where the rider is there, and expect the invoice there. Staff spend a good part of the day typing the same replies: received, packed, dispatched, payment due. Those are the messages a system can send for you. The rest still needs a person.
Messages worth automating
| Message | What triggers it | What the customer no longer asks |
|---|---|---|
| Order confirmation | An order saved in the POS, ERP or website | "Did you get my order?" |
| Status update | The order marked packed, dispatched or ready for pickup | "Where is it?" |
| Delivery confirmation | The rider or driver marking it delivered | "Has it reached?" |
| Invoice or receipt | An invoice posted | "Please send the bill" |
| Payment reminder | A due date reached on a credit invoice or an instalment | Nothing, but your recovery staff make fewer calls |
| Appointment or renewal reminder | A date coming up in the system | "When is my booking?" |
Look at the middle column. Every automated message starts with something being recorded in a system. That is why automation is the last step and not the first.
The app and the API are different products
Two things carry the WhatsApp Business name, and they are often confused. The app is what most shops already use, with its quick replies, labels and greeting messages. The Platform has no chat screen of its own. It is a connection that lets your software send and receive messages.
| Point | WhatsApp Business app | WhatsApp Business Platform (API) |
|---|---|---|
| What it is | A phone app for a small business | A link between WhatsApp and your own software |
| Who sends the message | A person, typing or tapping a quick reply | Your ERP, POS or CRM, when an event happens |
| How you get it | Install it and register a number | Through a provider, set up by a developer |
| Suits | A shop or small team answering chats by hand | Order, delivery and payment messages in volume |
| Where replies go | To the phone holding the app | To your CRM or a shared inbox, where a named person should pick them up |
On the Platform, message templates need approval before they can be used, and messages are billed by the provider. Check the current terms with your provider before you plan a budget.
What should stay with a human
- Complaints. An automatic reply to an angry customer makes matters worse.
- Price negotiation and special requests.
- Disputed balances and udhaar conversations, where tone matters.
- Bad news such as a delay, a shortage or a cancelled delivery. Send the notice, then have a person follow up.
- The first reply to an enquiry that does not fit a standard answer.
A sound setup makes the handover obvious. When a customer replies to an automated update, the reply reaches a named member of staff and does not vanish.
What WhatsApp automation needs first
A message such as "your order has been dispatched" is only true if someone marked it dispatched. If orders are taken in a diary and deliveries are tracked by phone, the software has no event to act on. Put the process into a system first; how to automate your company sets out the order of work. Clean customer numbers matter as well, since one wrong digit sends a stranger your invoice.
Setting it up
List the repeated replies
Go through a week of chats and note which answers staff typed again and again.
Match each to an event
Order saved, invoice posted, delivery marked. If no system records the event, fix that first.
Write short templates
Customer name, order number, what happened, what to do next. Urdu, English or Arabic, as your customers prefer.
Connect through a provider
Your developer links the system to the WhatsApp Business Platform and submits the templates for approval.
Test on staff numbers
Run real orders to your own phones before any customer receives a message.
Offer a way out
Tell customers how to stop the updates, and honour it when they ask.
Good manners on a personal channel
Message only people who gave you their number for this purpose, keep to updates they would expect, and do not turn the channel into a daily advertisement. Customers block numbers that shout, and a blocked number cannot deliver the confirmation they actually wanted.
Operix builds CRM software that takes WhatsApp enquiries into one pipeline, along with the ERP and POS systems that hold the orders these messages depend on. Questions people ask
What is WhatsApp automation?
It is your business software sending routine WhatsApp messages by itself, such as order confirmations, delivery updates and payment reminders, when an event is recorded in the system.
What is the difference between the WhatsApp Business app and the API?
The app is used by a person on a phone. The WhatsApp Business Platform, often called the API, connects WhatsApp to your software through a provider, so the system can send the messages.
Do automated WhatsApp messages cost money?
On the WhatsApp Business Platform, messages are billed by the provider. Terms change, so check the current ones before you plan a budget.
Can a chatbot handle all customer replies?
It should not. Routine questions can be answered automatically, but complaints, negotiation and anything unusual should pass to a named person.
Do I need an ERP or POS before automating WhatsApp?
You need some system that records the event, whether an ERP, a POS, a CRM or an online store. Without a recorded order or invoice there is nothing to trigger the message.
