In summer your guest house in Naran or Hunza is full, the phone does not stop, and bookings come by WhatsApp, through tour operators, from booking sites and from people who simply walk in. In winter a Murree hotel fills on snowfall weekends. A city hotel in Karachi or Lahore deals with corporate guests and wedding families. All of them keep the room plan in a register, take advances on WhatsApp, and discover a double booking when two families arrive for the same room.
The room calendar comes first
Everything in a hotel system hangs on one calendar: rooms down the side, dates across the top, and every booking shown as a block. Reception, the owner and the booking website read the same calendar, so a room sold on the phone in Lahore is gone from the website at once. Each booking carries the guest's name, CNIC or passport details as your rules require, number of guests, the source, the rate, and the advance received.

Advances, agents and checkout
Most Pakistani guests pay an advance by bank transfer, JazzCash or EasyPaisa to confirm a room. The system should record it against the booking with a screenshot, and remind reception when an unpaid hold is about to expire in peak season. Tour operators who send groups need their own account: their rate, what they owe, and a statement each month.
At checkout, the bill pulls together the room nights, the restaurant meals charged to the room, laundry, tours and any damage, minus the advance. One bill, one payment, and the room turns to dirty for housekeeping.
The restaurant on the same system
A hotel restaurant also serves outside guests. Its POS should let the waiter choose: pay now, or charge to room 12. Charged bills appear on the guest's folio; cash bills go to the day's sales. Our restaurant POS guide covers the kitchen side.
Weak internet in Hunza, Skardu and Naran
In much of Gilgit-Baltistan and the Kaghan valley, the connection comes and goes. Reception cannot stop checking guests in. The answer is a system that runs on the hotel's own computer, saves everything locally and syncs with the cloud and the website when the line is up. Bookings taken online while the hotel is offline are held until the next sync, and the website should only offer rooms with a safety margin in peak weeks.

Housekeeping and the off season
When a guest checks out, the room moves to cleaning, then back to ready once housekeeping marks it done, so reception never gives a family a room that still needs fresh sheets. Damage or missing items found during cleaning are added to the guest's bill before they leave. In the north, rooms that close for winter are blocked on the calendar, and the owner can still see advances taken for next summer while the hotel is shut.
A booking website of your own
Guests now look for a hotel's own site with real photos, room types, location and a way to book or ask on WhatsApp. A website built for your hotel can take requests or confirmed bookings into the same calendar, so guests who find you again book direct.
