If you run a wholesale shop in Jodia Bazaar, Bolton Market or Shah Alam Market, your day is a stream of party orders: a retailer from Hyderabad on the phone, a regular from Liaquatabad at the counter, a WhatsApp list from a shop in Quetta that wants goods on the evening truck. Most of it goes out on udhaar, and the khata is the real business. When the khata lives in one register and one munshi's memory, recoveries slip and nobody knows the true stock until someone counts the godown.

Where wholesale trade outgrows the register

  • A party disputes its balance and you spend an hour going back through pages.
  • Stock is bought in cartons, sold in dozens and sometimes in loose pieces, and the count never matches.
  • Goods went upcountry on a bilty, the party says it never arrived, and nobody wrote the transporter's name.
  • Rates differ by party, and the salesman quotes the wrong one over the phone.
  • You cannot say which parties are past their usual payment day without asking the munshi.

Units, rates and the godown

The first thing a wholesale system must get right is units. An item is bought by the carton, a carton holds a fixed number of dozens or pieces, and stock should be kept in the smallest unit so a broken carton does not confuse the count. The invoice can still print cartons and dozens, because that is how your customers read it. Rate lists should work per party or per party group, so a retailer and a sub-wholesaler see their own price without the salesman remembering it.

Udhaar, recoveries and the party ledger

Udhaar is not a problem to remove; it is how wholesale works in Pakistan. The software should make it safer. Each party gets a ledger showing bills, payments, returns and the running balance. Each party can have a credit limit and a usual payment period. When a payment comes by cash, bank transfer, JazzCash or EasyPaisa, it is posted against the party and a receipt goes out on WhatsApp. Every morning the owner sees which parties are overdue and by how much, and the recovery man gets his list on his phone.

Bilty and upcountry orders

For goods sent by road to Punjab, Balochistan or interior Sindh, the dispatch should record the transporter, the bilty number, the number of packages and the date. When the party calls to say a carton is short, you open the invoice and the bilty is there. The same record shows which orders are packed but not yet dispatched.

  1. Fix the item list

    Write every item with its carton size, dozen or piece unit and current rates. Remove duplicates before they reach the system.

  2. Agree opening balances

    Close each party's khata on one date and enter that balance as the opening figure. Send each big party its balance on WhatsApp to confirm.

  3. Count the godown once

    Take one honest stock count on a quiet day, in pieces, and enter it as opening stock.

  4. Run the counter on the system

    Bill every sale from the system for a few weeks while the munshi still keeps the register, then compare.

  5. Add recoveries and salesmen

    Once balances match, give the recovery man his list and add a salesman order app if you book orders in the market.

Salesmen, retailers and WhatsApp orders

Many wholesalers book orders through salesmen who visit shops on fixed days.
