Agri input dealer software: seed, fertiliser and pesticide dealers in Pakistan

A dealer in Sahiwal, Okara or Rahim Yar Khan sells the season on credit. Seed, DAP and urea go out before sowing, the sprays go out when the pest arrives, and the money comes back after the cotton or the wheat is picked and sold. In Sukkur and Mirpurkhas the crops change; the pattern does not. The register holds every farmer's udhaar in the owner's handwriting, the godown holds bags nobody has counted since Ramadan, and the company's letter says the dealer is short on target with the scheme deadline next week. Software for an agri input dealer has to be built around those three things: the season, the batch and the scheme.

Agri input dealer software starts with the season

Kharif crops such as cotton, rice, sugarcane and maize are sown from spring and harvested in autumn; rabi crops such as wheat are sown in autumn and harvested in spring. A dealer's credit follows the same calendar: inputs go out at sowing and at each spray, recovery comes at harvest. The software should hold each farmer's ledger by season and by crop, so the owner can see what is outstanding from this kharif, what was cleared from last rabi, and which farmers carry a balance across seasons. Recoveries are then planned around the harvest, village by village, with the mango and chilli growers of Mirpurkhas on a different calendar from the wheat farmers of Okara.

Batch and expiry on pesticides

Pesticides, weedicides and fungicides come with a batch number and an expiry date on the pack, and farmers and companies both ask for them. The software records the batch at purchase, sells from a chosen batch, lists what expires in the coming months, and returns unsold stock to the company by batch. Company schemes and targets

Fertiliser and pesticide companies set dealer targets by season and pay back in free bags, cash discounts or trips when the target is met. If the scheme is netted into the price, the dealer never knows the real margin on a bag. The software should hold each company's scheme and target, show progress during the season, and post the benefit when it arrives, separately from sales. Claims to the company are then made from a report, not from memory.

Godown, recoveries and the salesman

A dealer's godown is across the road or in the next town, and sub-dealers in the villages carry stock on udhaar too. The software keeps stock by godown, moves it with a challan, and lists each sub-dealer's balance. Recoveries are planned by village and by day; the salesman visits with the list on a phone, records what was collected in cash, by transfer, JazzCash or EasyPaisa, and books the farmer's next order on the spot. WhatsApp orders and the counter

Farmers send orders and photos of the pest on WhatsApp. The order is entered against the farmer's ledger, picked from the godown and delivered, with the credit or cash recorded. A counter at the shop bills walk-in sales on the same stock, and the day closes with cash, credit and transfers separated. Yes. Each farmer has a ledger with entries tagged by season and crop, so the owner sees what is outstanding from this kharif, what was cleared last rabi, and who carries a balance across seasons.

Does it track batch and expiry on pesticides?

Yes. Batch and expiry are recorded at purchase, sales are made from a chosen batch, and a report lists stock expiring soon so it can be sold first or returned to the company.

Can I sell fertiliser in bags and pesticide in litres from the same system?

Yes. Each item has its own units, and one item can be bought in one unit and sold in another, such as a carton bought and bottles sold, or a bag bought and half bags sold.
