Ask ten shop owners in Dubai for a POS machine and you will be shown two different things. Some point to the small card machine beside the till. Others point to the till itself. Both are right, and the confusion costs money when an owner buys one believing it does the job of the other. This guide separates the two, explains who supplies each, and shows how to make them agree at the end of the day.
Two machines with one name
| Card machine | POS system | |
|---|---|---|
| What it does | Takes card and phone-wallet payments and sends the money to your bank account | Records each sale by item, reduces stock, prints the VAT receipt |
| Who supplies it | Your bank or a payment provider | A software company, with till hardware bought separately or together |
| What it knows | The amount and the card type | The items, the cashier, the customer, the stock and the VAT |
| What you get at closing | A settlement slip with card totals | A report of sales by item, payment type and cashier |
A kiosk that sells three products for cash and card can live with a card machine and a notebook. A shop with stock on shelves cannot, because the card machine has no idea what was sold.
Getting a card machine
Card machines are issued by banks and by payment providers. They will ask for your trade licence and company documents, and whether you are approved, what you are charged and how quickly money reaches your account is decided by them, not by your software vendor. Ask whether the machine accepts the wallets your customers use, such as Apple Pay, Google Pay and Samsung Pay, and whether it can be linked to a POS system. If you run a free zone company, read POS machine for a free zone company first.
Standalone or linked
With a standalone card machine, the cashier reads the total on the POS and types it into the card machine by hand. It works, and it is also where a sale of 150 becomes a charge of 15. With a linked machine, the POS sends the amount across, the customer taps, and the POS marks the bill as paid by card only after the machine confirms. Whether linking is possible depends on the model and the provider, so ask the provider and the software vendor the same question before you sign with either.
Some newer card machines are small Android devices that can run a POS app on the same screen. They suit a food truck, a market stall or a delivery rider. A fixed counter with a queue still works faster on a proper till.
Making the two agree every evening
Record the payment type on every bill
Cash, card or wallet is chosen at the moment of sale, never corrected from memory later.
Print the card machine's settlement slip
It lists the card total for the day, usually split by card type.
Print the POS closing report
It shows its own card, wallet and cash totals for the same shift.
Compare card against card, cash against cash
A difference in the card line means a mistyped amount or a bill saved under the wrong payment type.
Fix the bill, not the total
Correct the individual sale so the record stays true, and note who made the change.
Later, the bank statement shows what the provider actually paid in. A system with accounts behind it can match those deposits too, which is one of the differences explained in POS versus ERP for a growing shop.
What to ask before you buy either
- Can this card machine be linked to a POS, and to which ones?
- Does the POS print a VAT receipt in AED with our TRN, in Arabic and English?
- Does the POS keep billing if the internet drops, and what happens to card payments then?
- Who do we call when the card machine fails, and who when the POS fails?
- Can a refund be sent back to the card from the POS, or only from the card machine?
The full buying checklist for the software side is in POS system in Dubai and the UAE, and the parts of the till itself are covered in EPOS till systems in the UAE.
Where Operix stands
Operix Systems builds the POS system, not the card machine. We set up POS software for businesses in Dubai and the UAE remotely from Karachi and have no office in the Emirates. Your card machine stays with your bank or payment provider. Tell us which one you use and we will check with them whether it can be linked, and say so plainly if it cannot. For shops and retail chains the POS records every sale by payment type either way, so the evening comparison takes minutes.

Questions people ask
What is a POS machine in the UAE?
Most people mean the card machine from a bank or payment provider that takes card and wallet payments. Some mean the whole till. It is worth asking which one a supplier is quoting for.
Do I need a POS system if I already have a card machine?
If you hold stock, yes. The card machine records amounts only. A POS system records which items were sold, reduces stock and prints the VAT receipt.
Can the card machine be connected to the POS?
Often, but it depends on the machine and the provider. When linked, the POS sends the amount and receives the confirmation, so nothing is typed twice.
Who supplies card machines in the UAE?
Banks and licensed payment providers. They set their own requirements and charges, so compare more than one and ask about wallet acceptance and POS linking.
