A café on Tahlia Street prints a receipt for every coffee and most of them go in the bin before the customer reaches the door. A clothing shop in Al Nakheel Mall takes a return and the customer has lost the slip. Smart receipts software answers both, and these are the questions Riyadh owners ask about it.
What is smart receipts software?
It is a feature of the POS, or an add-on to it, that delivers the receipt electronically. At the moment of sale the POS issues the simplified e-invoice with its QR code and VAT at 15%, as ZATCA's FATOORA rules require. Smart receipts software then sends that same document to the customer by WhatsApp, SMS or email, or shows a QR code on the customer display for them to scan. Some systems also keep every receipt in a customer account, so a repeat customer can find any purchase later. For how the receipt itself is built, see digital receipts software in Riyadh.
Is a smart receipt the same as the ZATCA e-invoice?
Yes, in content. The e-invoice is the legal document, generated by the POS with the QR code and the fields ZATCA requires. A smart receipt is a way of handing it over. The software must not create a second, different receipt; it sends a copy of the one the POS issued, with the same number and QR code. If a vendor's product generates its own receipt separately from the till, ask how the two are kept identical. Which fields the e-invoice must carry, and when your business joins ZATCA's integration wave, are matters to confirm with your tax adviser.
How does the customer receive it?
| Channel | Works well when | Watch out for |
|---|---|---|
| Most customers in Riyadh already use it and read it at once | Needs the customer's number and consent; business messaging has its own rules | |
| SMS | The customer has no data or no WhatsApp | Short messages, so the receipt is usually a link |
| B2B customers and accounts departments | Often read later; good for records, poor for instant proof | |
| QR code on the customer display | Walk-in customers who give no details | Only works at the counter; the customer must scan before leaving |
Most shops offer two: a QR code on screen for anyone, and WhatsApp for customers who give a number. The cashier should be able to choose, and to print on request.
Does it replace the receipt printer?
Not entirely. Some customers want paper, a message can fail, and the printer is the fallback when the phone network is slow. The printer gets used less, which is where the saving is, but the till still needs one. A pharmacy, where the customer often wants a printed slip for a claim, keeps printing most receipts; see POS system in Riyadh for the counter basics.
How do returns work without paper?
Better than with paper. The POS finds the original receipt by phone number, receipt number or the QR code, and the return is recorded against it, so the item, the price paid and the VAT are taken from the sale rather than retyped. The refund goes back by the same method the customer paid, which the receipt also records. Staff cannot refund an item that was never sold, which protects the shop as much as the customer.
What about the customer's phone number and the PDPL?
A phone number or email collected for a receipt is personal data under Saudi Arabia's Personal Data Protection Law. The software should ask the customer's consent at the counter, use the details for the receipt and nothing else unless the customer agrees, and let you delete them on request. Marketing messages need their own consent. Ask your lawyer what notice you need at the counter and on the receipt.
Which POS features do you need alongside it?
- An e-invoice with a QR code on every sale, generated by the POS.
- mada, STC Pay, Apple Pay and cash as separate payment methods on the receipt.
- Arabic and English on the receipt, with the SAR total clearly shown.
- Customer records with consent recorded, searchable by phone number.
- Returns matched to the original sale.
- A customer display that can show a QR code.
If your current POS cannot issue the e-invoice itself, the smart receipt is the wrong place to start. Fix the till first; POS system in Saudi Arabia: what your counter needs lists what to check.
Does a Riyadh shop actually need it?
A shop with many small sales and walk-in customers gains little beyond paper savings; a QR code on the screen is enough. A shop with returns, repeat customers, warranties or B2B buyers gains more, because the receipt becomes the record the customer keeps. If you already struggle to get the e-invoice right, say so and fix that first; we will tell you plainly when the smart receipt can wait.

Questions people ask
Can smart receipts be sent from any POS?
Only if the POS can issue the e-invoice and pass it to the messaging service. Many older tills cannot. Ask the vendor to send a receipt to your own phone during the demo.
Is a WhatsApp receipt valid as a tax invoice?
The e-invoice the POS issues is the document that matters; the WhatsApp message carries a copy of it. Keep the original in the POS and confirm the record-keeping rules with your tax adviser.
What if the customer refuses to give a number?
Show a QR code on the customer display or print the receipt. Collecting a number must stay optional.
Can I send offers with the receipt?
Only with separate consent for marketing. A receipt message that carries an advert without consent can breach the PDPL and annoys customers.
Does this work for a restaurant too?
Yes. Table bills and delivery orders can be sent the same way, and a QR code on the bill folder lets the customer take the receipt without waiting for paper.
